Data is valuable, but it also involves major responsibilities in the financial sector. The requirements for data storage and privacy are becoming increasingly stringent, and supervisors such as Stichting Toetsing (STV) are closely monitoring. Organizations that do not have their data retention in order are at risk of severe sanctions.
The Dutch insurer Lifetri decided to proactively work on its data retention policy, in view of the DNB Good Practice 2023 and the upcoming DORA legislation. Although the topic had been on the agenda for some time, now was the time to take concrete steps.

Within just eight weeks, we managed to provide insight into and classify all data. This result was only possible thanks to the intensive cooperation with Lifetri.
Our approach
Making all data transparent
First step? Getting a grip on all unstructured data. What data does Lifetri have? What should be done with it? And how do we store them in a structured way?
To answer these questions, we started with a thorough Purview scan, followed by qualitative interviews with key figures within the organization. This gave us a complete picture of the data situation and the challenges surrounding data retention policy.
A structured project approach
After the analysis phase, we developed a concrete project approach with a clear change plan. We knew: data is always moving. New data comes in every day and should not be mixed with data that has already been cleaned.
That is why we have set up processes to process new data in the right way. We've made sure employees know exactly how to manage data in line with policy.
